Privacy Policy

ReceiptBot ("Service") is a WhatsApp assistant that helps users organize receipts and invoices. This policy describes how we collect, use and protect your data.

When using ReceiptBot, we collect the following data:

• Phone number — automatically provided by WhatsApp to identify your account
• Profile name — the visible name on your WhatsApp profile
• Receipt photos — the images you send for data extraction
• Extracted data — store, date, amount, items, category and other fields extracted from receipts
• Text and voice messages — the content of messages you send to the bot for processing
• Preferences — language, category rules and other settings you define

• Process and extract data from receipt photos you send
• Organize data into virtual spreadsheets ("Excels")
• Generate Excel (.xlsx) files and PDF reports
• Respond to your messages and commands
• Detect and adapt the language of responses
• Apply your saved preferences

ReceiptBot uses the following external services:

• Meta WhatsApp Cloud API — to receive and send messages. Messages pass through Meta's servers in accordance with the WhatsApp Terms.
• Google Gemini AI — to extract text and data from receipt images, understand text and voice messages, and generate responses. Images and messages are sent to Google's API for processing. Google may process this data in accordance with the Gemini API Terms.

• Data is stored in a PostgreSQL database on a European server
• Receipt images are stored on disk on the same server
• Communications are encrypted in transit (TLS/HTTPS)
• Server access is restricted and protected

• Conversation history — the last 10 messages are kept for context. Messages older than 7 days are automatically deleted.
• Receipt data — extracted data and images remain until the user manually deletes them or deletes the spreadsheet.
• Account — account data is kept as long as the user uses the service.

You have the right to:

• Delete receipts — ask the bot to delete any receipt or spreadsheet at any time
• Export data — request the Excel or PDF file to get a copy of your data
• Delete account — contact us to completely delete all your data from the system
• Information — ask the bot "what do you know about me" to see saved preferences

ReceiptBot is not intended for users under 16 years of age. We do not knowingly collect data from minors.

We may update this policy periodically. Significant changes will be communicated through the bot.
